Estimate and customer approval

For: owner and manager, reception

Updated October 28, 2026

The customer approves the costs before you start work. You send them the proposed lines and they approve or decline each one.

Sending the estimate

  1. Add lines to the job. New lines have the status Proposed.
  2. On the Estimate card click Send estimate.
  3. The customer gets a text (or an email if they have no phone) with a link. You can also click Copy link and send it yourself.

The job moves to Awaiting approval. The link works for 7 days. Each send is a new version, and the previous link stops working. Changing or removing a line the customer is looking at also closes the link, so send the estimate again after changes.

What the customer sees

The car, the lines with gross prices, photos marked Findings and the total. For each line they choose Approve or Decline and send the answer once. When they approve anything, the job moves to In progress by itself and reception and managers get a notification.

An answer by phone or at the desk

Click Record answer, choose By phone or At the desk and mark the decision on each line. You then move the job's stage yourself.

Decision history

The Estimate card lists every version with its status and how the customer answered. Declined lines stay on the job, struck through, and don't count towards the total. The customer's page shows Declined work by the car, so you can bring it up at the next visit.
